Fulfilment, Delivery & Logistics Policy

This Fulfilment, Delivery & Logistics Policy applies to all orders delivered to customers located in the European Union (EU), including Ireland, Austria, Belgium, Poland, Denmark, Germany, France, Finland, Netherlands, Czech Republic, Romania, Norway, Portugal, Sweden, Switzerland, Slovakia, Spain, Greece, Hungary, Italy.

We aim to ensure efficient order fulfilment, transparent delivery timelines, and compliance with applicable customs and tax regulations, while clearly defining responsibilities between seller and buyer.

Order fulfilment begins only after:

  • Final order confirmation
  • Artwork or specification approval
  • Full payment clearance

Production and logistics timelines are calculated from the date all above conditions are met

Any delay caused by incomplete information, late approvals, or delayed payment will proportionally extend the fulfilment timeline.

3.1 Estimated Timelines

All production and shipping timelines provided are estimated, not guaranteed

Estimates are based on:

  • Current production capacity
  • Material availability
  • Normal logistics conditions

3.2 Dispatch Confirmation

Once goods are dispatched:

  • A shipping confirmation and tracking reference will be provided
  • Responsibility transfers according to the agreed delivery terms (see Section 4)

Delivery timelines vary depending on product type, production method, and logistics arrangements. All timelines provided are estimates only and do not constitute guaranteed delivery dates.

4.1 Blank Headwear

  • Order handling time: approximately 2 business days following order confirmation and payment clearance
  • Estimated transit time: Express delivery via UPS or FedEx: approximately 3–7 business days

4.2 Customised Headwear

Production timelines are estimated and calculated from final sample confirmation and payment clearance:

  • Standard embroidery: approximately 14 business days
  • Custom patches: approximately 20 business days
  • Rush production: available for an additional fee, reducing production time to approximately 3–10 business days, subject to order quantity and seasonal production capacity

Following completion of production, estimated transit time via express carriers (UPS or FedEx) is approximately 3–7 business days.

Unless otherwise agreed in writing, deliveries are arranged using internationally recognised express carriers, including UPS and FedEx, for professional business delivery.

Risk of loss or damage transfers from the seller to the buyer at the time the goods are handed over to the carrier for transportation, in accordance with applicable commercial trade practices.

Delivery arrangements are intended for commercial use and professional handling within standard B2B logistics frameworks.

Logistics timelines may be affected by external factors beyond the seller’s reasonable control.

The seller shall not be held liable for delays resulting from, including but not limited to:

  • Carrier-related delays, capacity constraints, or operational disruptions (including UPS or FedEx)
  • Customs inspections, clearance procedures, or border controls
  • Peak seasons, public holidays, or force majeure events
  • Supply chain disruptions or material availability issues
  • Regulatory changes or governmental actions

Estimated production and transit timelines may be extended accordingly.

Delays arising from the above circumstances do not constitute a breach of contract and do not give rise to claims for cancellation, compensation, or damages.

Where reasonably possible, the seller will inform the buyer of significant delays and provide updated estimated timelines.

6.1 Duties & Import Taxes

Unless explicitly agreed otherwise:

  • Import duties, customs clearance fees, and destination country taxes are borne by the buyer
  • Duties are assessed by local customs authorities based on product classification and declared value

The seller cannot control or predict final duty rates imposed by customs authorities.

6.2 VAT (Value Added Tax)

  • Prices are quoted exclusive of VAT, unless clearly stated otherwise
  • VAT is applied in accordance with EU VAT legislation, based on: Customer location、VAT registration status、Applicable OSS / IOSS or local VAT rules
  • Customers must provide accurate VAT details at the time of order
  • Incorrect or missing VAT information may result in additional charges or delivery delays

6.3 VAT on Import & Delivery

Depending on the delivery model:

  • VAT may be collected at checkout
  • VAT may be payable upon import or delivery
  • VAT exemptions or reverse-charge mechanisms apply only where legally permitted and correctly documented

6.4 Shipments from China (DDP Terms)

Certain products may be dispatched directly from our manufacturing facilities in China. For these orders, we utilize a DDP (Delivered Duty Paid) model regarding Import VAT:

  • VAT Included: The applicable Import VAT is already calculated and included in the total order amount at the time of purchase. Customers are not required to make separate VAT payments to local authorities or carriers upon delivery.
  • Clearance Cooperation: While the VAT is prepaid, the buyer (as the importer of record) remains responsible for providing any necessary information to the carrier to facilitate the standard import clearance process.
  • No Additional Fees: This arrangement ensures that the final price paid at checkout is the total cost for the goods and taxes, preventing unexpected tax demands at the border.

The seller will provide standard export documentation, including:

  • Commercial invoice
  • Packing list
  • Shipping documents

The buyer is responsible for:

  • Any additional documentation required by local authorities
  • Ensuring imported goods comply with local regulations

Failure to cooperate with customs requirements may result in shipment delays or return costs borne by the buyer.

If delivery fails due to:

  • Incorrect address information
  • Refusal to pay duties or taxes
  • Failure to cooperate with customs clearance

Any resulting costs, including return shipping, storage, or disposal fees, shall be borne by the buyer.

Where operationally necessary, partial shipments may be arranged:

  • Without affecting the validity of the overall contract
  • Without entitlement to cancellation or penalty

This policy is structured in line with:

  • EU VAT and customs regulations
  • Fair and transparent fulfilment obligations

Nothing in this policy limits mandatory rights under applicable EU law.

This policy may be updated to reflect:

  • Regulatory or tax changes
